We are looking for a dedicated Client Services Administrator to support our internal team and our clients.
The Role
This role is ideal for someone who enjoys variety, accuracy, and relationship-based service.
You will be responsible for:
Payroll processing
Trust account transactions, reconciliations, and audit-ready recordkeeping
Companies Office & Charities Services administration
Accounts payable and receivable
Monthly bank and credit card reconciliations
Processing paperless payables (Hubdoc or equivalent)
Maintaining accurate data feeds and coding
Preparing monthly management reports for Client Managers
Lease monitoring and income reconciliation
Supporting annual accounts preparation and finalisation
Preparing and sending client documents, tracking signatures, and managing workflow in FYI/XPM
Grants and Distributions Processing
About You
The successful candidate will bring professionalism, accuracy, and strong people skills.
You will ideally have:
2-3 years’ experience in administration, payroll, bookkeeping, or client services
Experience with Xero or other cloud systems
Excellent communication and problem-solving skills
Strong attention to detail and high accuracy
Ability to work under pressure and meet deadlines
A proactive, organised, and positive approach
Respect for Te Ao Māori and willingness to embrace tikanga
Confidence working with clients and building rapport
